Authorize a property owner only for their rentals

Assign the property-owner role and grant access to the properties and related resources they should review.

For
  • I own or administer an agency
Available on
  • Agency

Use this guide after the property owner has accepted the team invitation. Quick authorization adds access to the selected properties and their related resources; it does not assign the property-owner role by itself or remove earlier authorizations.

Before you authorize access#

Real English Team settings with a fictional owner, active Property Owner role, and the distinction between role and resource scope.

Confirm that:

  • you are in the correct agency team;
  • the user appears as an active member with the expected email address;
  • they already have the Property owner role;
  • you know exactly which properties that owner controls;
  • each property has its short-term rental operation and the correct owner.

Only an administrator allowed to manage the team should perform this task.

Grant access#

Real English quick authorization with a fictional owner and only Mirador Apartment selected before access is granted; the action is disabled.
Visual example generated with fictional data; layout may vary by device.
  1. Open Settings > Team and find member management.
  2. If it is still missing, assign the Property owner role to the correct member.
  3. Open Property Owner Quick Authorization.
  4. Search by name or email and confirm the person's identity before selecting them.
  5. Select only their properties. For multiple properties, use Ctrl on Windows or Cmd on macOS as the screen explains.
  6. Select Authorize Selected Properties once and wait for the success message.
  7. Note how many properties the message confirms and compare it with your onboarding list.

This action grants access to the property and existing related resources such as operations, reservations, expenses, invoices, and payouts where applicable.

Verify with the owner#

Ask the owner to switch to the agency team and verify:

  1. that every expected property is visible;
  2. that they can open its operation and available financial resources;
  3. that no unrelated property is visible;
  4. that a sample reservation, expense, invoice, and payout genuinely belong to an authorized property.

Do not consider onboarding complete based only on the administrator's success message.

If something fails#

  • The user is missing: confirm that they accepted the invitation and belong to the current team.
  • A property is missing: verify that it belongs to the team, then reload the list.
  • Older resources are missing: repeat authorization for that property and check again. If they are still missing, send support the user, property, and resource type without unnecessary personal data.
  • The owner sees the wrong property: ask them to stop viewing it. Disable their team access immediately and contact support to review authorizations before re-enabling it.

Important limitation#

Quick authorization is additive: it grants access but does not provide granular property revocation in the same form. Do not use it to correct an over-broad selection or replace an offboarding process.

Next step#

Give the owner the Start here if an agency manages your properties guide and agree who should respond when financial information is missing or does not match.
