Assisted onboarding for an external cleaning provider
Prepare the account, company, and provider record; request the link and verify limited access before the first job.

Complete onboarding is not yet self-service. Holidario lets you prepare the account, company, and provider record, but the current public form has no supported step for linking that record to the user. Do not assume that an invitation or role alone grants access to assigned tasks.
Do not use internal commands, direct database changes, or another account's data to complete the link. Request support assistance and do not send the provider to a live job until the access test below passes.
Requirements#
- The Agency plan with team and cleaning features available.
- Permission to invite members and create providers and tasks.
- The person must register and verify their account using the agreed email.
- You must know which company provides the service and who will use Holidario.
- You must be able to run a test without sensitive data before the first job.
1. Add the account to the team#
- Open Settings > Team.
- Select Invite member and enter the exact email of the registered account.
- Wait for the person to accept the invitation.
- Confirm that they appear as an active team member.
Do not continue by selecting a different account with a similar name. The link is made to a user, not a display name.
2. Prepare the company#
Find the provider's company under Companies. If it does not exist, create it with real details and review them before using it for billing. One company cannot represent two external cleaning provider records within the account.
3. Create and link the provider#

- Open External cleaning providers and select Create.
- Select their Company.
- Add a recognizable nickname and a six-character hexadecimal colour without
#. - Leave Active enabled and save.
- Note the provider record ID and the exact email of the accepted account.
- Email
[email protected]with the team, provider record, and account that must be linked. Do not include passwords, codes, keys, or guest data.
The current screen does not prove that the user is linked. Wait for explicit support confirmation, then ask the person to sign out and back in. An Active provider record only means it can be used operationally; it does not prove access for that account.
4. Verify with a test task#

- Create or open a cleaning task that does not contain unnecessary sensitive information.
- Choose the external-provider assignment type and select the new record.
- Save and ask the provider to sign in again after the link has been confirmed.
- On desktop and a phone-sized view, confirm Provider profile opens the linked record; on mobile it appears between the fixed Home, Notifications, and Menu destinations. Confirm My provider profile in the weekly widget opens the same record. Under Monthly Assignments, verify that the provider sees exactly date, rental or operation, and the task action at both sizes, with no guest-name or status column.
- Send them the notification or link generated for that task.
- Using their account, confirm that they can open that task but not an unassigned task.
The test passes for the exact device and browser combination when the assigned task shows the rental, instructions, checklist, and cleaning actions while an unrelated task is denied or absent. Also verify start, upload, retry, and completion with test data.
That result does not prove general compatibility with other phones, tablets, or browsers. If a control or confirmation is missing, do not send the provider to a real job: use a device the agency has already verified, or return the case to the responsible person.
Problems and recovery#
- There is no user selector: this is the current boundary; prepare the provider record and request the assisted link.
- The company is missing: create it or confirm that it belongs to the active team.
- The company is already in use: open the existing provider record instead of creating a duplicate.
- The provider signs in but sees no tasks: check the link confirmation and exact task assignment; team membership does not authorize every cleaning.
- The profile shortcut is missing: confirm the active team and linked user before testing tasks. Do not create a second provider record merely to restore the shortcut.
- You need to change the linked account: request the change from support and repeat both tests; do not assume old access has been removed until it is confirmed.
Do not share one account between several people. If several people require different access, onboard identifiable accounts and responsibilities according to your agency's process.
