Use the weekly schedule to find missing or badly dated work and the daily agenda to run the current shift. Neither replaces opening the task when you need to verify details or evidence.
What each role can do#
- Agency administration: reviews all authorized planning and can correct it when the relevant permissions are present.
- Manager: reviews, creates, and corrects tasks and assignments.
- Front desk: uses these panels to coordinate arrivals and understand status. Its documented path is read-only; assignment or completion changes must be escalated.
- External cleaning provider: sees the weekly widget in read-only mode. It contains only tasks assigned to an active provider record linked to the signed-in account and current team. It does not show unassigned demand or another provider's assignments, and it offers no creation, assignment, or removal control.
If a panel or property is missing, do not assume there is no work. The module, widget, permission, or resource authorization may be absent.
Weekly review#
- Open Dashboard > Weekly Cleaning Schedule.
- Select a week with the arrows or open the monthly calendar. The monthly heatmap combines scheduled tasks and cleanable reservations that have no task yet.
- Review Unassigned reservations first. These are reservations checking in that day, marked for cleaning, and without a task.
- Then review pending, assigned, in-progress, and completed tasks.
- Open every task that looks unclear.
- Repeat the review after significant reservation changes.
A shared task appears under each assignee. It is one task repeated to show each participant's workload, not several independent cleanings. Confirm the identifier before counting or correcting it.
For an external provider, the same widget is deliberately narrower: the summary, calendar heatmap, day columns, and PDF export count only that provider's assigned tasks. Guest names are not included. My provider profile in the widget header opens the linked provider record for the active team; the shortcut can remain visible for an inactive record even though an inactive record contributes no scheduled work. Use the external-link icon on a task to open its cleaner work view in a new browser tab; that link remains subject to the current session, team, task authorization, and assignment. The provider view never exposes the unassigned-reservation quick-create action.
Interpret an overlap warning#
An Overlap warning means the cleaning date conflicts with the reservation sequence for that property: for example, it falls during another stay or an intermediate reservation would occupy the property again before the target arrival.
It does not necessarily mean an employee has two tasks at the same time. Open the task and affected reservations, confirm departures and arrivals, and move the cleaning to a valid date. Do not ignore it merely because the assignee says they are available.
Daily review#

- Open Dashboard > Daily PMS Agenda and confirm the date.
- In the Cleaning tasks column, review:
- Assigned: waiting to start;
- In progress: currently being performed;
- Completed: closed.
- Check the property and every assignee name.
- Open the task to review its reservation, checklist, and evidence.
- Reload after a change notification or shift handover.
The Daily Agenda includes only tasks whose scheduled date matches the selected day. A cleaning for today's arrival that was scheduled yesterday belongs to yesterday's panel.
Tasks in Pending status are included in the day's data but currently have no visible group in this column. Cross-check the agenda with Cleaning tasks or the weekly schedule so they are not missed.

Empty and missing states#

- No tasks for a day: check the date, week, team, and whether reservations are marked for cleaning.
- A reservation is unassigned: administration or management must create the task; front desk should report it.
- A task is missing from the Daily Agenda: check its date and status; pending tasks do not have a visible group.
- Properties are absent from the weekly schedule: the panel shows authorized data and operations with activity; review permissions and property setup.
- Loading appears incomplete: wait for the indicator, scroll to load more, and use Reload data once.
- The assignee name is empty: open the task; it may be unassigned or reference an unresolved record.
- An external provider sees no work: confirm the active team, the account linked to the provider record, that the provider is active, and the exact task assignment. Do not broaden the provider's permissions to diagnose an empty schedule.
Shift handover#
Before handing over a shift, record outside the task any follow-up that does not yet have a confirmed Holidario field and communicate:
- reservations without tasks;
- pending or overdue tasks;
- overlaps;
- in-progress cleanings with no response; and
- completed tasks whose evidence needs review.
