Cleaning and maintenance
Reassign, reschedule, or cancel a cleaning
Correct owners and dates without confusing task deletion with cancelling a reservation's cleaning requirement.

Holidario has no Cancelled status for cleaning tasks. You therefore need to distinguish three decisions:
- Reassign: cleaning is still required, but the people change.
- Reschedule: cleaning is still required, but the date changes.
- Cancel the cleaning requirement: the reservation no longer requires cleaning and the task must be removed.
Front desk should report the correction. Modification belongs to administration or management with the listed permissions.
Reassign an existing task#

- Open PMS > Cleaning tasks and search by identifier, date, property, or assignee.
- Open the task and check its reservation, status, and evidence before changing anything.
- Select Edit.
- Keep the current type or choose Employee / External provider.
- Select the complete list that should remain assigned, not only the new person.
- Save and reopen the task.
- Confirm that previous assignees are gone and every new assignee is present.
Changing the assignee type removes assignments of the previous type. One task cannot combine employees and external providers.
If you use an X on the distribution board, it removes only that person when others remain. Removing the final assignee deletes the whole task after confirmation. Editing the complete list and verifying it is usually the safer reassignment path.
Reschedule#
- Verify the previous departure, target arrival, and every intermediate reservation.
- Edit the Scheduled date.
- Save, then review both the new week and the old week.
- Confirm that no Overlap warning appears.
- Notify every assignee through the agreed channel.
Do not move a cleaning inside the stay it is meant to prepare. If another reservation will occupy the property between the new cleaning date and the target arrival, the date is also invalid.
Correct the status#
Use status to reflect reality, not to hide an alert:
- Pending: assignment preparation is incomplete.
- Assigned: responsible people are confirmed and work has not started.
- In progress: work has started.
- Completed: checklist and evidence have been reviewed under your procedure.
Do not set a task to Completed in the edit form merely to remove it from pending work. A saved status does not by itself prove that the checklist or evidence is valid. Review progress, completion, and evidence.
Cancel the cleaning requirement#

First confirm with the reservation owner that the property genuinely must not be cleaned.
If you administer the agency and can update the reservation#
Open the reservation in the calendar and select Cancel Cleaning Requirement. The action applies immediately and does not show a confirmation step. This change:
- marks the reservation as not cleanable;
- removes its existing cleaning task; and
- for an owner block, may reset related amounts to zero under the owner-block logic.
Review the owner's financial data before and after. Do not use this action merely to unassign one person.
If you cannot change the reservation#
Escalate the decision to someone with reservation update permission. Deleting only the task does not cancel the requirement: while the reservation remains marked for cleaning, the weekly schedule shows it again as Requires assignment.
Verify afterward#
After any change:
- reopen the task or reservation;
- check the affected week and Daily Agenda;
- confirm the new assignee's access;
- make sure no duplicate exists; and
- communicate the decision to the person executing it and to front desk.
If the change fails#
- The person is missing: check team, active status, Cleaning position, and assignee type.
- The task disappears when removing someone: they were the final assignee; find the reservation and recreate the task if cleaning is still required.
- The reservation appears unassigned again: the task was deleted, but the cleaning requirement was not cancelled.
- Access denied when changing Requires cleaning: that action needs reservation and task permissions; ask administration to perform it.
- Status or names do not change: reload once and open the task from the list. Do not resubmit until you know what saved.
- Work or evidence already existed: stop before deleting. Keep the identifier and escalate so operational history is not lost.
