Understand an owner payout
Interpret the reservations, expenses, manual payments, and split payments in an authorized owner payout.

An owner payout is a snapshot of selected reservations and expenses for an operation. It separates what the agency pays manually from what a platform has already paid through automatic payment splitting.
Creating the record does not move money by itself. Holidario calculates and records the payout; the manual transfer happens through the agency's banking process or a separately generated SEPA file.
Who can view it#
- An administrator reviews the team's payouts.
- A manager may review payouts but cannot necessarily create or change them.
- A property owner should see only payouts for operations the agency has authorized for them.
If you are a property owner and another property appears, stop viewing the screen and notify the agency immediately.
Open a payout#
- Switch to the correct team.
- Open PMS > Payouts.
- Search by creation date or open the New Payout Created notification.
- Confirm the operation before interpreting any amount.
Administrators and managers with both reconciliation-run read permissions see Payouts and Reconciliations tabs inside a card. The reconciliations tab is a paginated, sortable, filterable read-only table whose row menu contains only Show, and it lists only runs for which every operation is authorized. Managers open the run with one limited edit exception: they can choose whether an owner blockage deducts the operation's configured cleaning fee or €0, with a required audit reason. They cannot submit an arbitrary amount or use the other reconciliation mutation controls. Owners and anyone missing either read permission keep the flat payout list with no tabbed card.
A cancelled owner blockage remains excluded and review-required until an authorised reconciliation editor deliberately includes it with an audit reason. A manager's cleaning-total correction does not include it by itself. Holidario rejects final creation if its cancellation state changed after the review.
The creation date tells you when the payout was recorded; it does not by itself establish the accounting period. Use reservation dates, the item details, and the agency's communication to confirm the period.

The payout separates:
- Gross: revenue from included reservations before deductions.
- OTA fees: platform costs captured in the snapshot.
- Agency and cleaning fees: amounts recorded according to the operation configuration.
- Property expenses: selected costs deducted from the payout. A reviewed negative expense represents a refund or credit: it reduces this subtotal and increases the owner payout by its absolute amount.
- Owner blocks: deduct their saved gross blockage charge; Holidario sets that charge to the cleaning cost when cleaning is required and to €0 when it is not. They never add reservation gross revenue.
- Agency pays directly: net from channels where the agency receives the funds and must pay the owner.
- Paid automatically by platforms: net split by the platform outside the agency's manual transfer.
- Net amount to pay: manual amount after included expenses.
Amounts are saved as a snapshot when the payout is created. Do not assume that a later change to a reservation or expense updates an earlier payout automatically.
Check reservations and expenses#
Under Reservations, review guest, dates, channel, gross, fees, and net. A reservation from an unselected platform may appear for context even though its amount is excluded from the manual payment.
Under Expenses, check description, date, and amount. Every expense must belong to the property and must not have been deducted in another payout.
Open any related reservation, expense, or invoice that does not match. Do not compensate for a discrepancy mentally or by changing another period.
What Paid means#
The Paid status means that Holidario recorded the payout and marked related invoices as paid within that workflow. It is not independent bank evidence. Use the agency's or bank's receipt to confirm the actual movement of funds.
A payout can legitimately have a €0 net amount. This happens when included revenue exactly matches included expenses or when every included reservation is paid directly by an OTA. Holidario still records the payout, links its sources, and generates or updates the applicable invoices; €0 only means that no owner transfer is due for that payout.
If the payout does not match#
Tell the agency:
- payout identifier;
- expected property and period;
- specific reservation or expense;
- displayed and expected amount;
- minimum necessary evidence, without unnecessary personal data.
Do not request access to the whole agency to resolve a discrepancy for one property.
