Getting started
Start here if you provide cleaning services externally
Accept agency access, open only assigned cleaning work, and verify the device before the first job.

On this page
This path is for an independent cleaner or cleaning company working for an agency. It is not the internal employee guide: your access depends on a provider record, a confirmed account link, and tasks the agency explicitly assigns to that record. The agency currently coordinates the initial link with Holidario; an accepted invitation is not enough.
Your scope#
You can review the week and execute cleanings authorized for your provider. The Dashboard's Weekly Cleaning Schedule is read-only for your role and shows only tasks assigned to an active provider record linked to your account in the current team. Its totals, monthly heatmap, day columns, and PDF export use that same scope. It does not show unassigned reservations, another provider's work, guest names, or controls to create, assign, or remove work.
Each scheduled task has an external-link icon. It opens the cleaner work view in a new browser tab, where the date, rental, location, instructions, checklist, and evidence for that work are brought together.
The mobile bottom bar keeps Home, Notifications, and Menu in their fixed positions. Its role-specific fourth button is Provider profile for an external cleaning provider linked in the active team. The weekly widget also shows My provider profile in its header. Both shortcuts open that provider's own show page; they do not expose the provider directory or another company's profile. If the record is inactive, the profile shortcut can still be available, but the weekly schedule omits tasks assigned through that record because provider schedule access uses active linked records only.
The provider profile can show monthly assignment counts. For an external cleaning provider, the assignment table uses the same three columns on desktop and mobile: scheduled date, rental or operation, and the action that opens the task. It does not render guest names or status, and the assignment response omits the guest-name fields for that role. Cleaning-fee totals appear only when the signed-in account separately has permission to read reservations; the external-provider role and profile shortcut do not grant that financial visibility. Even with that separate permission, the provider's assignment table remains three columns and does not add a per-task fee column.
You do not receive general access to properties, reservations, guests, finances, agency planning, or another provider's tasks. A forwarded link does not become an assignment. Each person must use the account accepted and linked by the agency; do not share one password across your crew.
Verify the field device#
The task view is intended for field work, but its compatibility has not been accepted for every phone, browser, or screen size. Before the first journey, the agency and provider must test a task without sensitive data on the intended combination: sign-in, link, assigned task, camera or file picker, upload, retry, checklist, completion, and denial of an unrelated task.
If a control is missing or confirmation does not appear, do not travel based on that combination. Use a device the agency has already verified, or return the work to the responsible person for handling. Do not assume offline operation; a check or file counts as received only when it appears confirmed in the task.
1. Complete your first access#
- Create and verify your own account with the email agreed with the agency.
- Accept the invitation and confirm the team name.
- Wait for the agency to create your provider record and obtain confirmation of the assisted link.
- Sign out and back in when the agency tells you that confirmation has arrived.
- Confirm that Provider profile appears in the mobile bottom bar and opens your linked provider record. The same record is available through My provider profile in the weekly widget header.
- Ask for a real or test task explicitly assigned to your provider. Confirm it appears in the correct week on Dashboard > Weekly Cleaning Schedule, then open it with the external-link icon, a notification, or the agency's link.
The invitation, provider record, and assignment are three separate conditions. Team membership does not display work if any of the other two is missing.
2. Confirm your first sign of success#
Access is ready when you can:
- open the task the agency confirmed as assigned to your provider;
- see that task in your weekly schedule without seeing an unrelated task;
- check its rental, date, instructions, and expected evidence;
- identify the next action from its state; and
- remain unable to access an unassigned task.
That final check protects agency information and prevents your company from accepting another provider's work by mistake.
3. Follow this routine for each job#

- Open the correct week on the Dashboard and use the task's external-link icon to open the work view in a new tab. You can also use a current notification or agency link.
- Before travelling, open and review the assigned cleaning.
- Confirm the current date, rental, location, access, scope, and checklist.
- If anything differs, clarify it with the agency before starting.
- Select Start cleaning when the service begins and wait for In progress.
- Check completed items and provide only the requested evidence.
- Report damage, shortages, inability to enter, or a changed scope before closing.
- Select Complete cleaning once and verify the state, list, and gallery.
States that decide your next action#
- Pending or assigned: confirm the job; do not check the list yet.
- In progress: complete the items and evidence for the current service.
- Completed: the close is recorded; do not reopen it without notifying the agency.
- Not found or access denied: review the team, link, and assignment. Do not use another person's account or link.
- Missing after you previously saw it: it may have been reassigned or cancelled; ask before travelling.
- Empty weekly schedule: open Provider profile and confirm the active team and provider status, then ask the agency to verify the date and exact assignment. An inactive record can still have a visible profile shortcut but contributes no work to the schedule. Do not request access to all agency planning as a workaround.
- Provider profile shortcut missing: the account has no linked provider record in the active team. Confirm the team and ask the agency to repair the link; do not create a duplicate account or provider.
- Upload pending or failed: the file does not yet prove that the evidence arrived.
Recover the work without duplicating it#
- If a button does not change the state, reload once and check the result before repeating.
- If an item becomes unchecked again, restore connectivity and retry once.
- If a photograph or video fails, keep the original, use the task's retry, and verify which files appear before selecting them again.
- If you closed by mistake, notify the agency before reopening: it may already be coordinating the rental as finished.
- If the link no longer opens, do not create another task, account, or provider record; the agency must check the assignment.
Do not send evidence through a personal channel unless the agency agreed a secure alternative. Keep guest documents, codes, screens, and belongings out of images.
Who to escalate to#
Contact the agency's operational lead for rental access, keys, instructions, damage, risk, or a changed scope. Contact the person managing your provider record when the link or assignment is missing.
For a possible Holidario failure, keep the task identifier, team, time, action, exact message, and anonymized screenshot. Follow Ask for help with the right information, and never share passwords or access codes.
