Properties and operations

Manage properties, operations, and owners

Keep the physical property's identity, its rental operation, and the owning person or company separate.

Holidario separates three concepts that must not be mixed:

  • Property: the physical asset, address, characteristics, office, and owner.
  • Operation: how the asset is operated. The Short-Term Rental Operation contains capacity, minimum prices, beds, cleaning, keys, listings, and operating configuration.
  • Owner and owner company: the user who owns the property and the billing details used for documents and financial processes.

The correct result is one recognizable property, one active short-term rental operation per accommodation, and an owner whose identity and access have been verified.

Before you start#

You need the correct active team and permission to create or update properties and operations. Gather:

  • a stable internal name and verified address;
  • the responsible office;
  • the registered owner with the correct email;
  • basic property details;
  • intended operation type;
  • the owner's company, tax ID, tax address, and contact when applicable;
  • the person who approves ownership and billing changes.

The Owner of the property selector lists team members. If the person does not yet have an account or has not accepted the invitation, complete their onboarding first; do not select another member as a temporary substitute.

1. Create or verify the property#

  1. Open Properties and search by name, address, cadastral reference, owner, or operation.
  2. If a result already represents the asset, open and correct it instead of creating another.
  3. If none exists, select Create new property or import a compatible listing.
  4. Under Basic information, confirm Office, Owner of the property, Name, and Address.
  5. Complete the residential or commercial type and the details requested by the form.
  6. Save and reopen the record to verify the persisted information.

An import can create both the property and its short-term rental operation. Check Property > Operations before adding another.

2. Create or review the rental operation#

The Operations section on the property page shows how the asset is used.

  1. If it shows No Operations, select Set Up Rental.
  2. If Properties displays Properties missing rental setup, open the correct asset there.
  3. Confirm that Property already contains that accommodation.
  4. Enter an unambiguous operating name and choose Short-Term Rental Operation.
  5. Complete the form and save once.
  6. Open Operations and verify the name, property, state, and pending tasks.

Follow Create the rental operation and prepare its data before configuring channels. Do not use Disabled to hide incomplete data, and do not create a second operation to correct the first.

3. Confirm the owner and billing details#

The property page shows Owner Billing Details. This section uses the owner user's company within the team and can create it on save if it does not exist yet.

  1. First confirm that Owner of the property identifies the correct person.
  2. Select Edit owner billing details.
  3. Review name or legal name, tax ID, address, country, email, and phone.
  4. Save with Save Billing Details.
  5. Reopen the section and confirm that mandatory fields no longer show Missing.

Do not change the owner of an operating property merely to correct tax details. Edit the company belonging to the correct owner. If legal ownership has changed and bookings, invoices, payouts, or access already exist, stop and agree the effective date and consequences before updating.

4. Grant access without confusing ownership and authorization#

Assigning someone as the property's owner does not replace their role or access authorizations.

  1. Confirm the user belongs to the team and has the Property owner role.
  2. Use Authorize an owner only for their properties.
  3. With their own account, verify that they can see this property and not another one.
  4. Check one example operation, booking, invoice, or payout when applicable.

Quick authorization adds resources and does not provide granular revocation in the same form. Do not use it to test uncertain selections.

States and completion criteria#

  • Property without operation: the asset exists but is not ready to synchronize or operate bookings.
  • Operation with pending tasks: it has been created but data is missing; it is not channel-ready.
  • Owner pending: the user, their company, or billing details are incomplete.
  • Access pending: ownership can be correct while the user still lacks a role or authorization.
  • Ready to continue: property, operation, owner, company, and access agree and a second person has verified them.

Before continuing, compare the name, address, owner, and operation in Properties, Operations, and the property page. All four must refer to the same accommodation.

Errors, denial, and recovery#

  • Owner is missing: confirm registration, accepted invitation, and active team; do not select someone else.
  • Property already exists: update the correct record; do not import it again.
  • Set Up Rental is missing: an operation may already exist, or permission or available capacity may be missing.
  • Operation belongs to another property: do not duplicate anything; preserve both identifiers and request help.
  • Billing details are missing: complete the correct owner's section; do not reuse the agency company.
  • Access denied: an administrator must review plan, role, and resource authorization.
  • Owner sees an unrelated property: ask them to stop viewing it, temporarily disable their team access, and escalate immediately.

When escalating, include the team, property ID, operation ID, partially masked owner email, screen, and expected result. Do not attach tax IDs, bank details, contracts, or guest data unless an explicitly agreed secure channel is being used.
