Export your agency's data

The export puts everything your agency has in Holidario into a ZIP file. It includes bookings, guests, properties, owners, invoices, messages, cleanings, your team and every other record, each kind as a CSV sheet and as JSON, together with its documents and images. Use it to keep a copy or move your data to another system. To answer one person who asks for their data, use GDPR requests.

Exporting changes and deletes nothing in Holidario.

Before you start#

• You need the team Admin role. Other team members don't see this tab.
• Holidario asks you to confirm it's you before preparing the export and before each download, unless you did so in the last 15 minutes.
• The file holds guests' personal data, identity documents included. Download it only to an agency device and keep it where your agency is allowed to store it.

Prepare the export#

1. Open Settings and choose the Export data tab.
2. Press Prepare export.
3. If Confirm it's you appears, enter your verification code or your password. You return to the tab; press Prepare export again.
4. You see the message "We're preparing the export" and a Preparing row under Exports. It usually takes a few minutes; an agency with many documents takes longer.
5. Press Check again until the row turns Ready.

While an export is being prepared, Prepare export is disabled: only one is prepared at a time.

Download the files#

When the export is Ready, the row shows until when it is available and a button per file:

• Download · size if it fits in one ZIP.
• Part 1 of N · size, Part 2 of N… if it is large. Download every part: the first holds the data and the index, the others the remaining documents.

If more than 15 minutes have passed since you confirmed it's you, the download asks again and returns you to the tab; press the button again.

The files delete themselves 7 days after they are prepared. After that the row shows Expired and you can prepare a new one.

What the ZIP contains#

• datos/csv/: one sheet per kind of data, which opens in Excel.
• datos/json/: the same data, to import into another program.
• archivos/: documents and images, one folder per collection.
• manifest.json: each kind of data with its row count, the files included, the parts and what is left out.
• LEEME.txt: this same explanation, in Spanish and English.

Data Holidario stores encrypted comes out readable. Map locations are text, POINT(longitude latitude), and the few binary columns are base64.

What is not included#

So that the file can't be used to get into any account or charge anyone, the export leaves out:

• integration passwords, API keys, tokens and session cookies;
• digital certificates, their private keys and their passwords;
• saved-card references;
• door and key-box access codes, and Wi-Fi passwords;
• each person's Holidario sign-in data, such as linked Google or Facebook accounts or two-step verification;
• earlier exports and generated reports.

If something doesn't go as expected#

• You don't see the Export data tab. Your role isn't Admin. Ask an agency admin to prepare it.
• The row says Could not be prepared. Press Prepare export again. If it fails again, write to us with the date of the request.
• It stays Preparing for a long time. A large agency can take longer. If it takes more than an hour, write to us.
• A document is missing. The manifest.json index counts the files that weren't available when exporting. If you miss one, write to us.

Export before leaving Holidario#

Exporting doesn't cancel the subscription or delete data, and cancelling exports nothing. If you are leaving Holidario, prepare and check the export before cancelling, and review what cancelling doesn't do.
