Traveller records are managed under the reservation Check-in tab. Prefer the guest-completed form; enter or correct data in administration when there is an operational need and authority to do so.
Before entering data#

- Verify the reservation, property, dates, and expected party size.
- Check whether the guest already completed the form to avoid duplicates.
- Confirm the source of every value; do not guess documents, addresses, or family relationships.
- Register an adult first when minors are travelling.
Create or edit the full party#

- Open the reservation and select Check-in.
- Select Create check-in when empty or Edit check-in when travellers already exist.
- Set the number of records and complete one record per person.
- Review country of residence, date of birth, name, surnames, gender, nationality, and address.
- For travellers requiring identification, enter type and number exactly as shown on the document.
- For an adult, complete contact and signature when requested.
- For a minor, select the family relationship and responsible adult.
- Save and reopen the tab to confirm the list.
Residents in Spain require province and municipality; residents elsewhere require a written locality. Duplicate identity documents inside the same party trigger validation.
Add one person#
Use Add single person when the rest of the party is already correct. You can select an authorized existing person or create a new one. Verify name and identity document before reusing a person; a matching name does not prove identity.
Clone previous records#
Clone check-ins copies travellers from another reservation, even when the earlier reservation is cancelled. Use it only after confirming that the party is exactly the same and your organization is allowed to reuse the data.
Review every traveller after cloning. Do not use it as a shortcut for similar families, corporate bookings, or partially changed parties.
Required pre-submission check#

- registered people correspond to the party that will actually stay;
- every record genuinely belongs to this stay;
- a related adult exists when minors are present;
- dates, documents, nationality, and residence are complete;
- there are no duplicates or records from another reservation.
Holidario considers check-in complete once the first traveller is registered. The guest count selected during booking is a reference and may not match the actual party; do not use it alone to decide that travellers are missing. Confirm with the guest whether any companions still need to register.
States that lock editing#
A reservation marked No-show keeps records visible but prevents editing and submission. If actions are missing, check permissions and authorization for every record in the party.
Expected result#
The tab shows one authorized record per traveller, and the total matches actual occupancy before any submission.
